KPOS vs. Toast for restaurants: features, setup and total cost
Compare KPOS and Toast by restaurant workflow, then check hardware, payment terms, installation and ongoing support in the same written quote.
KPOS and Toast should be compared on the restaurant work you need done: ordering, tables, payments, kitchen, employees, inventory and reporting. KPOS’s comparison starts with matching those jobs. It does not claim a broader feature set than Toast. After the workflow demo, compare the work needed to open, maintain the equipment and pay for the complete setup.

Which restaurant features should you compare?
The table describes vendor documentation checked on October 17, 2026. KPOS entries reflect its documented product scope, not a new hands-on acceptance test. Availability, modules and the configuration offered to your restaurant must be confirmed in the demo and quote.
| Restaurant job | Toast’s official description | KPOS’s documented scope | Test with both vendors |
|---|---|---|---|
| Table service | Full-service POS describes course firing, split bills and tableside ordering and payments. | Table maps, coursing, split checks and tableside order and pay. | Move a guest, hold a course, split a shared dish and check the final receipts. |
| Kitchen and delivery | Toast’s platform overview describes kitchen displays and online or third-party orders reaching the kitchen. | KDS and delivery aggregation; verify your actual channels. | Route a modified order to the right station, then change or cancel it. |
| Employee management | Toast scheduling and its platform overview describe scheduling and payroll-related workflows. | Employee accounts, permissions and time clock. Scheduling, payroll export and tip allocation need separate confirmation. | Clock in and out; review corrections, permissions and exports. Do not count unconfirmed modules as included. |
| Inventory | Toast Inventory describes stock and ingredient management. | Ingredient mapping and sale-based depletion. | Sell a recipe item and inspect ingredient quantities; separately check waste, purchasing and accounting needs. |
| Owner reporting | Toast’s full-service page describes reporting and analytics. | Daily sales, batch and order reports, CSV export and multi-location reporting. | Trace a refund through the daily total, payment batch and export; check which locations the owner can see. |
This is a scoped comparison, not a claim that every Toast feature has an identical KPOS counterpart. Bring any specialist requirement—such as payroll, accounting or a particular integration—to both teams before choosing.
Who gets the restaurant ready to open?
KPOS combines restaurant software with selected payment-integrated Sunmi hardware, menu preparation and onboarding. Ask for the delivery plan for your store: what arrives configured, what staff must do and who owns each support issue.
Toast also offers connected hardware, software and payments. Its pricing page explicitly covers implementation and approved hardware. Integration alone does not prove that KPOS is easier to install or maintain than Toast. Compare the actual plan across these five areas:
- Payments: Who opens the account and verifies settlement, refunds and end-of-day totals?
- Hardware: Which terminal, handheld, customer display, printer and KDS are included, and who configures them?
- Transactions: Can staff follow an order, payment, tip and refund without entering the amount again?
- Network: Who supplies and manages the router or backup connection, and what happens during an outage?
- Device management: Who configures updates, diagnoses a device and restores a replacement? What remote service is included?
Count the owner’s setup tasks and the handoffs needed for a repair. Confirm responsibilities and coverage in writing. Neither a launch-time promise nor a lower failure rate is established by this article.
Compare the full cost for the same restaurant
Use one reference configuration: one 40-seat restaurant, two order-and-pay devices, one KDS and the same delivery channels. Ask each vendor to itemize:
- Hardware purchase, rental or financing, accessories, tax and replacement terms.
- Monthly software, per-device and per-location fees, plus the modules demonstrated above.
- Processing terms for the same card volume, transaction count and payment mix; include per-transaction, online, keyed-in and other applicable fees.
- Menu migration, installation, network equipment, training and ongoing support.
- Contract length, renewal, cancellation, equipment return and data-export charges.
First-year comparison = upfront costs + 12 months of recurring charges + processing and other usage charges for the same assumed sales. Include financed equipment in the appropriate monthly costs once; do not count both its full purchase price and financing payments. Separate promotional terms from renewal costs and show any commitment extending beyond the first year.
Toast describes different hardware and implementation arrangements, including Pay-as-You-Go. KPOS provides a merchant quote by configuration. We have not established a like-for-like price advantage. Partner wholesale software pricing is not a restaurant’s retail system price.

Frequently asked questions
Is KPOS a Toast alternative?
KPOS is worth comparing with Toast when you need bilingual menus, large-table split checks, kitchen routing and integrated ordering and payments. Compare the same workflows and the quoted modules. This comparison does not establish complete feature parity or that KPOS has more features than Toast.
Does a KPOS time clock replace Toast Payroll or scheduling?
No such equivalence is established here. KPOS documents employee accounts, permissions and time clock functions. Confirm scheduling, payroll exports and tip allocation separately; a time clock alone does not establish those capabilities.
Is KPOS cheaper than Toast?
A comparable price difference has not been established. KPOS uses a configuration-specific quote; Toast says hardware and implementation costs depend on the package and installation needs. Compare software, equipment, processing, add-ons, onboarding and support for the same restaurant over the same period.
What should a turnkey restaurant POS quote include?
Ask who provisions payments, prepares the menu, configures hardware and kitchen routing, manages the network and devices, trains staff and handles recovery or replacement. Confirm the restaurant's own tasks, service coverage, exclusions and charges in writing.
