Restaurant POS with a separate card terminal: what to compare

2 min read

Compare a separate card terminal with integrated restaurant payments: amount entry, tips, refunds, reconciliation, setup and support responsibilities.

If your cashier keys the bill into a card machine and then marks the POS order paid, there are two records to reconcile. KPOS offers selected Sunmi devices that take the restaurant order and payment on the same device. That gives you a concrete alternative to demonstrate against your current checkout.

This comparison concerns the configuration, not a ranking of smaller POS brands. Some external card terminals are tightly integrated, and a specialist setup may fit a particular payment or operating requirement. Do not assume two devices means two manual entries.

Follow one transaction all the way through

Check A setup that requires manual handoff What to test on KPOS or another integrated setup
Amount Staff may re-enter the total on the terminal. The order total reaches payment without re-keying.
Payment result Staff may have to mark the order paid. The result is tied to the correct order; a failed or uncertain result is not shown as paid.
Tips and refunds Staff may work in two systems. A tip adjustment and partial refund remain traceable in the order and payment records.
End of day Staff compare totals across systems. Trace an order, refund and payment batch; identify any remaining reconciliation steps.
Maintenance Separate power, connections and support teams may need coordination. List each cable, charging point, network dependency and support owner in the actual setup.

These are acceptance checks, not a claim that every independent terminal lacks integration or every integrated configuration passes. Test a timeout and recovery with the vendor’s safe demo process; check that staff can identify the outcome without submitting a duplicate payment.

Payment integration still needs restaurant software

A payment terminal alone does not establish that a system handles shared dishes, coursing, bilingual kitchen output or delivery changes. Bring those scenarios to the demo as well. KPOS combines its restaurant workflow with selected payment-integrated hardware; the quoted equipment and software must cover both parts of the job.

For systems that already combine POS and payments, use the Clover and Square delivery comparison. For a restaurant feature checklist, use KPOS vs. Toast.

Compare the cost of the complete working setup

Request hardware, software, processing, installation, network equipment, training and support costs for the same sales volume and payment mix. Include terminal rental, any connector fees, financing commitments, renewal terms and replacement procedures. Integration does not by itself prove a lower price, lower failure rate or faster repair.

Hardware and workflow descriptions were reviewed on October 17, 2026, using KPOS’s product information and its documented restaurant scope. No comparative reliability or savings measurement is asserted.

Ask KPOS to demonstrate your checkout with one split bill, a tip adjustment, a partial refund and an end-of-day reconciliation. Have the team mark which manual steps the proposed setup removes, then confirm that configuration in writing.

Frequently asked questions

Does a separate card terminal always mean manual payment entry?

No. Some separate terminals connect directly to the POS. Ask whether the amount is sent automatically and the result returns to the correct order. Device count alone does not establish integration quality.

What is KPOS's integrated payment approach?

KPOS offers selected Sunmi devices that combine restaurant ordering and payment acceptance. Confirm the exact device, payment account, supported methods and transaction flow in the quoted configuration. Not every device includes the same printer or accessories.

Is integrated hardware proven to fail less often?

No comparative failure-rate result is established here. Fewer devices or connections can simplify the setup, but reliability and repair time require operating records and comparable tests.
